Who we are

Softex Media is a real estate digital marketing agency based in Pune, India. We run marketing for real estate developers, builders and brokerages. In this policy, “we”, “us” and “our” mean Softex Media, and “you” means anyone who visits this website or contacts us.

For personal data you give us directly, such as an enquiry through this website, we decide how it is used and are responsible for it. This policy is written to meet the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000 and the rules made under them.

What we collect

When you fill in a form on this website, we collect:

• Your name and phone number
• Your email address
• Your project or company name, city and message
• The page and form you used, and any campaign (UTM) tags in the page address
• A record that you ticked the consent box, with the wording you agreed to and the time

We also collect:

• Calls, emails and WhatsApp messages: the details you share when you contact us directly.
• Technical data: your IP address is checked when a form is submitted, to block spam and limit repeat submissions. Our web host keeps standard server logs.
• Analytics and advertising data: we use Google Tag Manager to load tools that measure how the website is used and whether our own ads lead to enquiries, such as Google Analytics, Google Ads and Meta conversion tracking. These tools can set cookies or use similar technology, and collect data such as pages viewed, device and browser type, approximate location and the ad or link that brought you here.

We do not ask for sensitive personal data such as financial, health or identity document details through this website.

Why we use it

We use your personal data to:

• Reply to your enquiry and arrange a call
• Understand your project so we can suggest the right services
• Prepare proposals and, if you become a client, deliver and invoice our work
• Measure which pages, campaigns and channels bring enquiries, so we can improve the website and our own marketing
• Keep the website and forms secure and free of spam
• Meet our legal, tax and accounting obligations

We process enquiry data on the basis of the consent you give when you submit a form, and to take the steps you asked for. You can withdraw consent at any time (see Your rights).

Calls and messages

If you send an enquiry, we will contact you about it by phone, WhatsApp or email. We do not add enquirers to unrelated promotional lists and we do not sell or rent personal data. If you no longer want to hear from us, tell us on the call, reply to any message, or email hello@softexmedia.com, and we will stop.

Who we share it with

Your personal data is seen by the Softex Media team members who handle your enquiry. We also use service providers who process data for us under their own security and privacy terms:

• Website hosting and email delivery
• Our CRM, if enquiries are sent to it automatically
• Google and Meta, for analytics and ad measurement
• Communication tools such as WhatsApp and Google Workspace

We may also share data if the law requires it, for example with a court, regulator or government authority, or to protect our rights. Some of these providers store data on servers outside India. Where that happens, we rely on providers with recognised security standards, and we follow any restrictions the Government of India places on transfers.

Data we handle for our clients

When we run campaigns for a developer or other client, the leads those campaigns generate belong to that client. We handle that data only on the client’s instructions and under our agreement with them, and the client’s own privacy policy applies to it. If you enquired about a property through an ad or landing page we manage, contact the developer named on that page, or write to us and we will pass your request on.

How long we keep it

We keep enquiry data for up to 24 months after our last contact with you, unless you become a client or we need it longer to meet a legal, tax or accounting requirement or to resolve a dispute. Client records are kept for as long as the law requires. After that, we delete the data or make it anonymous. Analytics data is kept for the period set in each tool.

Cookies

The forms on this website do not set cookies. The analytics and advertising tools loaded through Google Tag Manager may set cookies to count visits and measure ads. You can block or delete cookies in your browser settings, and you can use Google’s and Meta’s ad settings to limit personalised ads. Blocking cookies does not stop you from using this website or sending an enquiry.

How we protect it

The website runs over HTTPS. Enquiries are stored in a private area of our website that only authorised team members can open, and access to our email, CRM and ad accounts is limited to the people who need it. No method of storage or transmission is completely secure, but we take reasonable steps to protect your data. If a breach affects your personal data, we will inform you and the authorities as the law requires.

Your rights

Under Indian data protection law, you can ask us to:

• Tell you what personal data we hold about you and how we use it
• Correct, complete or update it
• Delete it, unless we must keep it by law
• Stop using it, by withdrawing your consent
• Respond to a complaint about how we handled it

You can also nominate another person to exercise these rights for you if you die or become unable to. To make a request, email hello@softexmedia.com from the email address or phone number you gave us, so we can confirm it is you. We will respond within 30 days.

Children

This website and our services are for businesses. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, contact us and we will delete them.
