● Lead generation
A lead isn’t a result. A booking is.
Softex Media is a real estate lead generation company that runs the whole system: campaigns that bring enquiries, WhatsApp qualification, CRM routing, nurturing and booking attribution, so every lead can be traced to a site visit, a booking or a reason it stopped.
01 Why leads don't convert
If your real estate leads are not converting, one of these is usually the cause.
Junk leads: wrong budget, wrong city, wrong number
Lead-ad questions and landing pages that filter before the form, so you get qualified leads for real estate developers, not volume
Leads wait hours for a first reply
WhatsApp acknowledgement and qualification the moment the enquiry lands
Good leads sit in a shared inbox
Routing rules that assign each lead to a salesperson with a deadline to act
Interested-but-not-ready buyers are dropped
A nurturing sequence with floor plans, progress updates and visit reminders
Nobody knows which source produced the bookings
Booking attribution through the CRM, from first click to token amount
02 The system
Real estate lead management is six connected jobs. Softex Media sets up and runs all six.
Google and Meta campaigns, landing pages and lead forms built per project and configuration.
An instant WhatsApp reply through the WhatsApp Business API, with the brochure and a first question.
Lead qualification for real estate in three or four tap-to-answer questions: budget, location, configuration, timeline.
Lead routing to the right salesperson by project, language or budget band, with a deadline to act.
Lead nurturing for real estate buyers who aren’t ready yet: floor plans, progress updates, reminders.
Every visit and booking tied back to the campaign, ad and keyword that started it.
03 Lead sources
Property lead generation draws on several sources. Each has a place, and each needs tracking.
| Source | What it’s good at | What to watch |
|---|---|---|
| Google Ads search | High intent: buyers searching a locality or configuration | Limited volume; competitors bid on the same terms |
| Meta ads and lead ads | Reaching buyers before they search; brand awareness and volume | Lower intent; needs qualifying questions |
| Property portals | Buyers actively browsing listings | Shared leads that several builders call at once |
| Channel partners | Warm, referred buyers and local reach | Credit disputes unless leads are registered and tagged |
| SEO and AI answers | Steady, low-cost enquiries over time | Slow to build; needs project pages that rank |
| WhatsApp click-to-chat | Buyers who prefer to message first | Conversations need a reply within minutes |
Softex Media tracks every source in one CRM, so you can compare them on visits and bookings rather than lead counts.
04 Booking attribution
Booking attribution is tracing each booking back to the campaign, ad and lead source behind it, through the CRM. It answers the question every sales head eventually asks: which spend produced buyers who paid a token amount? Without it, budgets follow lead counts, and lead counts reward the cheapest, emptiest sources.
Lead scoring in a real estate CRM gives each lead a number from its qualification answers and behaviour: budget fit, preferred location, timeline, brochure opens and replies. High scores reach a salesperson first; low scores enter nurturing. Scores are reviewed against bookings each month, so the model reflects who actually buys.
Most buyers touch several sources before booking: an Instagram ad, a Google search, a channel-partner call. Multi-touch tagging keeps every touch on the record, so credit isn’t handed to the last click by default. You see which sources start journeys and which close them.
05 Process
Order matters more than speed. Durations depend on the project.
Current sources, CRM fields, forms, tracking and follow-up habits.
Criteria set with your sales head, written into forms and WhatsApp flows.
Landing pages, lead forms, WhatsApp templates, routing rules and CRM stages.
A test lead from every source travels to the CRM with its source intact before media starts.
Campaigns go live; weekly reports show every source against visits and bookings.
Questions, scores, routing and budget are adjusted from what the bookings show.
06 Tools

07 How it's measured
Lead generation is reported on four numbers: cost per lead (CPL), cost per qualified lead (CPQL: campaign cost divided by the leads that meet your qualification criteria), cost per site visit (CPSV: campaign cost divided by the site visits it produced) and cost per booking. CPL alone is never treated as success.
08 Pune and Mumbai
The system is the same across India. What a qualified lead looks like changes by city.
09 Project types
Qualification questions change with the product.
10 Compliance
Lead generation collects personal data and advertises a project, so both kinds of rule apply:
11 Choosing a partner
Whichever real estate lead generation agency or company in India you speak to, ask these five questions.
| Question | A good answer |
|---|---|
| Are the leads exclusive to my project? | Yes: generated by campaigns in your own ad accounts |
| What happens in the first ten minutes after an enquiry? | An automated acknowledgement and qualification, then a routed call task |
| How do you define a qualified lead? | Criteria agreed with your sales team, written into the forms |
| Can you show which source produced each booking? | Yes, from the CRM, with stage dates |
| What do you report weekly? | Visits and bookings by source, not just lead counts |
13 FAQ
A lead is anyone who enquires. A qualified lead has answered the questions your sales team cares about and fits: budget matches the inventory, the location suits, the configuration is on offer and the buying timeline is workable. Softex Media reports both, because a pile of leads with few qualified ones is a warning, not a win.
Cost has two parts: the media budget, paid to Google and Meta in your accounts, and Softex Media’s fee for campaigns, pages, qualification flows, CRM set-up and reporting. The fee is usually monthly or a share of ad spend, set after scoping the projects and sources involved.
Enquiries usually start soon after campaigns go live, once tracking and follow-up are tested. Visit and booking patterns take longer to read, because buyers take time to decide. Softex Media reports from the first week, with the early focus on whether qualified leads and visits are arriving from each source.
With three or four questions asked at the right moments: in the lead form, on WhatsApp straight after the enquiry, and on the first call. Budget, location, configuration and timeline are the usual four. The answers produce a lead score that decides whether the lead goes to sales now or into nurturing.
Lead scoring gives each lead a number based on how well it fits and how engaged it is: qualification answers, replies, brochure opens and visit requests. Salespeople call the highest scores first. The scoring rules are checked against actual bookings so they keep reflecting who buys.
Only if you can see what it produces beyond the lead. Paying for leads judged on volume often buys numbers that never visit. Paying for a system that qualifies, routes and traces leads to bookings lets you judge spend on bookings, which is the only measure that pays for itself.
Yes. Leads come from campaigns run for your project in ad accounts held in your name, and they go straight into your CRM. They are not shared lists or portal leads sold to several builders, so no other developer is calling the same buyer from the same enquiry.
Every ad link carries UTM tags; the landing page writes campaign, ad and keyword into the CRM record; the sales team marks the visit and booking stages. The booking can then be read straight back to its ad, and the same stages are sent to Google and Meta to improve optimisation.
Yes. Portal and channel-partner leads are tagged at entry and routed through the same qualification and CRM stages as paid leads. That makes every source comparable on visits and bookings, and keeps partner credit clear when a buyer touches more than one source.
Softex Media works in Sell.Do, LeadSquared and Salesforce, and adapts to the CRM your sales team already uses. What matters more than the brand is that the CRM records source, qualification answers and stage dates, so attribution and reporting can work.
Yes. Lead management, including WhatsApp automation, CRM routing, nurturing and attribution, can be set up on its own. Your current agency’s campaigns then feed a system that qualifies and tracks every lead, and the reports show which of their campaigns produce visits.
As many as you can track and follow up properly, and no more. Most projects start with search, Meta and partners, add remarketing early, and build SEO alongside. A new source is added when the existing ones are tracked to bookings, not before.
